DeskIQ Privacy Policy
Version: 2026-10-13 · Updated 13 October 2026
DeskIQ is operated by VoltNet IT Services, trading as DeskIQ. This policy covers the DeskIQ Android app, web app and supporting services. You connect your desk booking provider to DeskIQ. We use that connection to show desk availability and manage bookings on your behalf, following your requests and preferences. Contact us at hello@deskiq.co.uk with privacy questions or requests about your data.
Information we use
We use the name, email address and account identifier supplied when you sign in, your DeskIQ account details, and information from your connected desk booking provider. We store your desk and building preferences, automatic-booking policies, waiting lists, transfer offers, booking-related records and notifications so these features can work across devices.
We use booking information to provide the service and analyse desk usage. Authorized administrators may access this information.
We remember your setup progress and when you accepted this policy so you can pick up where you left off.
Connecting your desk booking provider
When you connect your desk booking provider, you allow DeskIQ to access desk availability and carry out booking actions on your behalf. This includes actions you request in the app and automatic bookings based on the preferences you set. We store the information needed to maintain your connection securely.
You can disconnect your provider in Settings → Connections. This removes the saved connection information and stops DeskIQ from carrying out further booking actions through that connection. It does not cancel existing bookings or delete your DeskIQ account.
Device storage and notifications
Your browser or app remembers your sign-in so you can continue using DeskIQ without signing in each time.
Push notifications are optional. When you enable them, we save your notification choices and the information needed to deliver updates to your device. Delivery uses your browser’s push service or Google Firebase for Android. Notification permission is controlled on each device. You can change or disable delivery in Settings → Notifications; in-app notifications remain separate.
The Android app uses Firebase installation identifiers and push registration tokens for messaging. Firebase may process device identifiers and configuration information when the app starts, even before you enable notification delivery.
Service providers and feedback
DeskIQ uses Cloudflare for access to the service, Microsoft for sign-in and your connected desk booking provider for workspace booking. Those services receive information needed for their respective functions. Google Firebase processes device identifiers and notification information for Android messaging. If you send feedback, we keep your message in our support system so the team can respond. Do not include passwords or other sensitive information in feedback.
Security
We use HTTPS to protect information transmitted to the service and encrypt all sensitive data. Access to personal information is restricted according to user and administrator permissions.
Retention and your choices
Account preferences, operational records and notifications are retained to provide the service and support its operation. Disconnecting removes your provider connection information; it does not erase all historical records. Contact hello@deskiq.co.uk to request access or correction of your account information. Signing out ends your session on that device; it does not delete your DeskIQ account.
Delete your DeskIQ account
To request deletion of your DeskIQ account and associated personal data, email hello@deskiq.co.uk. We complete verified requests within seven days.
Deleting your DeskIQ account does not delete your Microsoft or Eptura Engage account.
You can change preferences, cancel waiting lists, decline transfer offers and disable push notifications using their app controls. Changes to this policy will be identified by a new version. Planned features shown as Coming soon do not create bookings or exchange your data until implemented and used.
